This Privacy Policy describes how SiteProforma (the “Service,” “we,” “us”) collects, uses, and protects information in connection with your use of the Service. By using the Service you agree to this Policy. It should be read together with our EULA.
1. Information We Collect
- Account & team data — names, email addresses, roles, and job assignments of authorized users.
- Project data you enter — jobs, estimates, budget revisions, checklist tasks, notes, and uploaded photos.
- QuickBooks Online data— when you connect a QBO company, accounting data such as bills, purchases, vendors, customers, and amounts, retrieved to provide the Service’s features.
- Technical data — basic session and request information needed to operate and secure the Service.
2. How We Use Information
We use information to operate and provide the Service: tracking job costs against budgets, coding bills to cost codes, generating reports and invoices, managing checklists and team access, and maintaining an audit trail of changes. We do not sell your data, and we do not use it for advertising.
3. QuickBooks Online Data
We access QBO data only after you explicitly connect a QBO company, and only to provide the Service. QuickBooks Online remains the system of record; the Service is an operational layer over it. We request access limited to the accounting scope needed for job costing. You can disconnect QBO at any time from the Settings page, which revokes the Service’s access to your QBO company. We retain previously imported data and audit records unless you request deletion.
4. Service Providers
We use trusted third parties to host and operate the Service. They process data only to provide infrastructure to us:
- Vercel — application hosting and file (photo) storage.
- Neon — managed PostgreSQL database and authentication.
- Intuit — QuickBooks Online, the source of the accounting data you choose to connect.
5. Cookies
We use a small number of strictly-necessary cookies to keep you signed in, secure requests, and remember preferences such as theme and layout. We do not use third-party advertising or tracking cookies.
6. Data Security
We take reasonable measures to protect your data, including encryption of OAuth access/refresh tokens at rest, role-based access controls, and transport encryption (HTTPS). No method of storage or transmission is completely secure, but we work to protect your information.
7. Data Retention
We retain data for as long as your account is active or as needed to provide the Service and maintain accurate audit records. Cost-coding audit history is retained as a record of changes. You may request deletion of your data, subject to legal and recordkeeping obligations.
8. Your Choices & Rights
You may request access to, correction of, or deletion of your personal data, and you may disconnect QuickBooks Online at any time. To make a request, contact us using the details below.
9. Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
